General

The scenario manager serves as an administration tool for plans and forecasts. Authorizations, tasks and scenario properties are managed here.

The scenario manager is composed of four essential parts:

The tree

It serves as a navigation instrument and contains folders as well as plans/forecasts.

“General Plan Settings” tab

Here you make the settings for the scenario (type, time periods, …)

“Plan authorizations” tab

Here you can award authorizations.

“Tasks” tab

Here you can award tasks.

The icons in the ribbon bar have the following functions:

Button Action
Checking/unchecking of the dimension for processing. This button can be shown in different statuses:
The dimension can be “unchecked”.
The dimension is “unchecked” and available for processing.
The dimension is being opened by another user.
Resetting the scenario manager
Saves all changes
Deletes the element chosen
Creates a new element on the level below
Sorts the scenarios alphabetically
Opens the “Find” dialog box


Functionalities of the navigation tree

Context menu

After right-clicking on a folder or a scenario the following menu appears:

Functionality of the menu items:

New scenario, new folder

You may newly create both folders and scenarios. Enter a name in the subsequent dialog box. Following this, the new folder or the new scenario will already have been inserted in the tree and saved in the system.  

Copy scenario

The scenario selected in the tree will be copied. Enter the name which you would like to use for the copy. Furthermore, please choose the folder into which the copy shall be put. If you only wish to copy the structure of the scenario, deactivate the “Copy with data” option. In case you also want to copy the data of the scenario, please activate the “Copy with data” option.

Hint  The strucutre of the plan is always copied.

Import scenario data

The data of the scenario which has been selected as the source, is imported into the scenarios selected in the tree. If you first wish to delete the existing data of the target plan, please check “Delete data of target scenario”.

Delete element

Deletes the selected folder/scenario.


Functionality of the “Plan” tab

Plan deactivated

Check this option, if you want to deactivate the scenario. Following this, logins will no longer be possible in them.

Block input

Check this option, if you wish to block the scenario for the entire data input.

Hint  Since every active scenario adds to the consumption of storage of the CoPlanner, scenarios that are currently no longer needed can be deactivated. The data is not deleted but removed from the current storage. Deactivated scenarios can be reactivated at any time, if you should need them again.

Please also note that changes with regard to the activation/deactivation of scenarios will only become effective after the CoPlanner service has been restarted.

Name

Name of the scenario.

Type

Plan or forecast. If you choose forecast as the type, another setting group appears.

Please enter the period which shall be used as the actual period for the forecast. If “Block actual period for entries” is checked, you cannot make any entry within this period.

Relational scenario 1/Comparison scenario 2

These are scenarios which are “referred to” in the planning functions of the current scenarios. In “Relational scenario 1” you must set the actual budget and in “Relational scenario 2” the top down planning budget.

Here you can enter information about the scenario.

Framework, Settings for the planning period

Plan year

Please enter the year which you would like to plan. Following this, press the button. The data for the plan year start and the end of the plan will then be entered automatically. You can overwrite the end of the plan at any time if you would like to create a multi-year plan (or a rolling plan).

Entry only in the planning period

Please check, if you wish to allow the entry of plan values only in the defined plan period. If the planner tries to enter data outside of the plan period, he will be notified that this is not possible.

Scenario button

By clicking on the button, you can immediately login into a new scenario.

Calculating forecast button

By clicking on the button you can start the automatic creation of a forecast.

Hint  This button is only visible if there is a “forecastexec” macro.


Functionality of the “Plan authorizations”

In this tab you can award reading and writing authorizations. Users that are not explicitly defined have reading and writing rights for this scenario.

In order to add a user, please click on the button. A new line will then be inserted.

Click on the first cell in order to select a user and onto the second cell in order to choose the security type.

The following authorizations are available:

No restrictions: The user can login and read and write to the extent of his ribbon and dimension authorizations.

Deny writing: The user may login but he is only allowed to read (to the extent of his other authorizations).

Deny reading (login): The user is not allowed to log into this plan.

Hint  Once a user has been added to the list, all the other users will automatically be denied login into this plan. If you wish to award authorizations, you must explicitly add them.

If you want to modify the authorizations of several users, you can use the wizard. Open it by clicking on File:Icon SM Assistent.jpg.

Functionalities of the “Tasks” tab

In this tab you can allocate tasks to all those users who are listed in the “Plan authorizations” tab.

In order to award a task to a user, please click on . A new line will then be added.

Click on the first cell in order to select a user. In the second and third cells you can define the starting time and the end of the task.

If you wish to award a task to a user, i. e. if the user is required to execute his plan steps within the predefined period of time, please choose a start and end date. Before the start date and after the end date the user has only reading rights for this scenario.

If a user is given a task, the “My tasks” item will appear in his ribbon the next time he logs in. If the user has completed his plan steps, he must enable the task. A sub-item of the “My tasks” menu item contains the name of the plan as text. If the user selects this menu item, he can mark it as finished by means of the dialog box that appears. Following this, the user only has reading rights for this scenario.

The “Finished” cell shows whether the user has already enabled his task. This option is also set automatically by the system if the time period for the entry of data has expired.

If several users are to be given tasks, you can use the wizard. Open it with a click on the File:Icon SM AssistentAufgabe.jpg button.
